What it is, and what it isn't
Not another ledger. The place the records come from.
FocalHQ is not accounting software. It doesn't keep a general ledger, file returns or run payroll, and it doesn't try to replace the tool you book in. It is the operational side of your client's business: the invoices they issue, the bills their suppliers send, the receipts their people collect and the trips they take.
That matters to you because those records are what usually arrive late, in pieces, over email and chat. When your client works in FocalHQ, each document is created or captured once, in a known place, with its data already read out. Your month-end starts from a complete set rather than a reminder.
How working with a client in FocalHQ goes.
- 1
Your client invites you
The company owner or an admin invites you by email and chooses your role: Owner, Admin or Member. You sign in with your own account, not a shared password.
- 2
Records collect during the month
Invoices are issued from templates, supplier bills arrive at the company's own inbound address or by upload, and receipts are snapped on the phone and attached to the expense.
- 3
You open the period
Switch to the client, look at the period you're closing and download what you need: invoice and bill PDFs, receipts, and each trip as one zip with its report and receipts.
- 4
You book it where you always do
Your ledger stays in your accounting tool. FocalHQ is the source you read from, so there is nothing to keep in sync in the other direction.
Supplier bills
Bills that arrive read, matched and ready to check.
Each client company gets its own mailbox address for supplier bills. Suppliers send there, or your client forwards or uploads them. FocalHQ reads the PDF and extracts the supplier, number, dates and amounts, then matches the bill to a supplier by VAT code and, failing that, by name.
Anything it can't match waits in a queue for someone to resolve, so nothing silently disappears. Bills due in the next 7 and 30 days are listed on their own. The full flow is described under accounts payable.
- Extracted dataSupplier, number, dates and totals read from the PDF.
- Matched by VAT codeThen by name, with an unmatched queue for the rest.
- Original attachedThe PDF stays with the bill, ready to download.

Vendor, category, business purpose and the receipt photo or PDF on every [expense](expenses), plus what was reimbursed.

Questions
What accountants ask before saying yes.
Does FocalHQ replace my accounting software?
No. FocalHQ has no general ledger, tax filing or payroll. Your clients use it to run the operational side — invoices, bills, expenses, trips — and you keep booking in the tool you already use.
Is there a special portal for accountants?
There isn't a separate portal or a multi-client console. Each client invites you to their company, and you switch between the companies you belong to with one login.
Can I export a whole month at once?
Not as a single bulk export today. Each invoice, bill and receipt downloads from the app, and a trip downloads as one zip with its report and receipts.
Which plan does my client need?
Invoicing is in every plan. Supplier bills, expenses, trips, per diem and cash flow start with Business. The details and prices per seat are on the pricing page, and a three-month trial includes everything.
Where is my clients' data kept?
On Google Cloud in the EU, isolated per company: being invited to one client never shows you another. The security page explains how it's handled.
